Account For It Pty Ltd (ACN 648 691 221) (Account For It, we, us, our) is an accounting, tax and advisory practice based in Mount Hawthorn, Western Australia, with clients across Australia.
We respect your privacy. This policy explains how we collect, use, store and disclose personal information, and how you can access it, correct it or make a complaint. We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
As a registered tax agent, we also have confidentiality obligations under the Tax Agent Services Act 2009 (Cth), and our professional obligations as members of CPA Australia.
This policy applies to clients, prospective clients, their associates (such as directors, shareholders, trustees, beneficiaries, employees and family members), visitors to our website, suppliers and job applicants. We may update this policy from time to time, and the current version will always be available on our website.
2. What we collect and how
We only collect personal information that is reasonably necessary to provide our services and run our practice. Depending on the services we provide to you, this may include:
- identity and contact details, such as your name, date of birth, address, phone number and email address
- identification documents, such as your driver's licence or passport, where we are required to verify your identity
- tax file numbers and other government identifiers, such as ABNs and Director IDs
- financial and tax information, such as income, assets, liabilities, bank records, investments, superannuation, payroll details, and business records
- information about related people and entities, such as family members, business partners, trustees, beneficiaries and employees, where relevant to your affairs
- employment information, where you apply to work with us
- website and communication information, such as enquiries you submit and how you use our website.
We generally collect personal information directly from you, through meetings, phone calls, emails, our client onboarding and engagement platforms, and the documents you give us.
We may also collect it from third parties where you have authorised us to, or where it is reasonably necessary. These include the Australian Taxation Office, ASIC, your bank or financial institution (including through bank feeds), your accounting software, other advisers such as lawyers, mortgage brokers and financial planners, and publicly available sources such as company and land title searches.
We only collect sensitive information (such as health information) where it is relevant to the services, for example a medical expense or an insurance claim, and with your consent.
You can deal with us anonymously or using a pseudonym for general enquiries. However, we cannot prepare tax returns or provide most of our services without identifying you.
3. Why we collect it and how we use it
We collect, hold and use personal information to:
- provide our accounting, tax, bookkeeping, advisory and CFO services, including preparing and lodging returns and dealing with the ATO and other regulators on your behalf
- verify your identity and meet our legal obligations, including under taxation laws and anti-money laundering and counter-terrorism financing laws
- manage our relationship with you, including onboarding, engagement, billing and debt recovery
- maintain records as required by law and by our professional standards
- meet our quality control and professional obligations, including reviews by CPA Australia and the Tax Practitioners Board
- send you newsletters, updates and information about our services, if you have not opted out
- assess job applications and manage our suppliers.
We will only use your personal information for another purpose if you consent, if you would reasonably expect it and it relates to the original purpose, or if the law permits or requires it.
We handle tax file numbers in accordance with the Privacy (Tax File Number) Rule 2015, and only use or disclose them for a purpose permitted by taxation, personal assistance or superannuation law.
4. Who we disclose it to
We treat your information as confidential. We only disclose it where you have authorised us to, where it is reasonably necessary to provide our services, or where the law requires or permits it. The people and organisations we may disclose it to include:
- the Australian Taxation Office, ASIC, the Tax Practitioners Board and other government agencies
- other advisers you have asked us to work with, such as lawyers, financial planners, mortgage brokers and auditors
- our outsourced service providers, who assist with administration and bookkeeping tasks under our supervision (see section 5)
- providers of the software and cloud systems we use to deliver our services, including accounting, practice management, document management, client onboarding and e-signature platforms
- providers of the artificial intelligence (AI) tools we use (see below)
- CPA Australia, as part of its quality review program
- our insurers, legal advisers and debt recovery agents, where necessary.
We do not sell or rent your personal information.
Use of artificial intelligence
We use AI tools to help us with tasks such as drafting correspondence and documents, summarising and analysing information, research, data extraction and transaction coding. The AI tools we currently use are Claude (Anthropic, Team plan), Microsoft 365 Copilot, Xero JAX, Dext and Elfworks.
When we use AI tools:
- we only use tools we have assessed and approved, having regard to data security, data location, retention, and whether the provider uses inputs to train its models
- we do not enter client information into free or consumer versions of AI tools
- where practicable, we de-identify information before it is processed
- we do not enter tax file numbers into general-purpose generative AI tools
- all AI-generated output is reviewed by appropriately qualified members of our team before it is relied on. We remain responsible for our services.
Our Engagement Terms set out how our clients consent to our use of AI tools.
5. Overseas disclosure
We are likely to disclose personal information to recipients located outside Australia in two situations:
- Outsourced service providers. We use Carisma Solutions and Big Leap Business Process Outsourcing Services for the basic compilation of administration and bookkeeping tasks. Carisma Solutions is located in India, and Big Leap Business Process Outsourcing Services is located in the Philippines. All of their work is monitored, reviewed and completed by us.
- Software, cloud and AI providers. Some of the systems and AI tools we use store or process data outside Australia, including in the United States and the United Kingdom.
Before disclosing information overseas, we take reasonable steps to ensure the recipient handles it consistently with the APPs, including through contractual confidentiality and security commitments. Where our clients consent to overseas disclosure under our Engagement Terms, we will tell them clearly what that consent means before relying on it.
6. Storage, security and retention
We hold personal information mainly in electronic form, in secure cloud-based systems. We hold limited paper records at our office. Our website backups are stored in Australia.
We take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access, modification or disclosure. These steps include access controls and multi-factor authentication, restricting access to staff who need it, confidentiality obligations on our staff and contractors, and secure document exchange in place of email attachments where practicable.
We keep client files for at least 7 years after our final invoice, consistent with our legal and professional obligations. After that, we securely destroy or de-identify information we no longer need.
If we experience a data breach that is likely to result in serious harm, we will notify affected individuals and the Office of the Australian Information Commissioner (OAIC) under the Notifiable Data Breaches scheme.
